Director of Admissions, Outreach and Communications

Designation: Director of Admissions, Outreach and Communications

Reporting to: Chancellor of Sai University

Team: 5 members

Role Summary:

The role holder in close coordination with the Chancellor plan, manage and execute the admissions process from the awareness stage to point of inquiry and enrolment of students in the University. The incumbent will coordinate all internal and external communication activities that achieve awareness and build the brand of Sai University across the country. This would involve comprehensively synergising the strategic, tactical and creative processes to execute Undergraduate and Postgraduate programme admissions through various drives, campaigns, events both physically and digitally, media publications, newsletters, annual reports, website management etc. The above will be delivered by collaboratively working with peer group and external vendors within and outside the University on a variety of initiatives and day-to-day operations developing and executing in a way that is consistent with Sai University’s ethos and strategy. The position offers the opportunity to work with a highly collaborative team with a wide array of responsibilities in a busy, academic environment.

Responsibilities: 

  • Plan, guide & implement admissions outreach strategies to increase awareness, build the University’s brand and strong relationships to enroll academically bright students pan India.
     
  • Plan and execute the Admissions & Outreach program, by organizing, participating, and doing follow-up with selective high schools, run campaigns and drives (including but not limited to digital) and carry out communications and business development pan India for the various University Offerings of the Undergraduate and Postgraduate programme and ensuring the admissions to these programme, partaking in different Education Fairs, Seminars & Conferences along with Campus Visits, Open Houses, Webinars, Workshops and other outreach events for prospective students and families.

     

  • Drive Special Outreach/Pipeline programs for under-represented students.

     

  • Execute processing of applications to undergraduate and postgraduate programmes, implementing merit-based selection process with absolute integrity while delivering an empathetic, responsive student experience.

     

  • Manage the review of applications, including evaluation of components such as academic grades, Statement of Purpose, Personal Interactions and other components of the admissions as defined from time to time.

     

  • Efficiently process applicant data and applications in line with Admissions Policy in a time-bound manner in line with operating procedures and streamlining and upgrading the processing software.

     

  • Drive the communications function in the development of promotional materials (newsletter, presentations, brochures, posters, website, social media announcements, application instructions, videos etc.) that interpret the school to prospective and admitted students, high school educators, parents and the campus community.

     

  • Conduct regular evaluation of the matrices and measure of success for continuous improvement of services, prepare and maintain statistics regarding enrolment, geographical distribution of students, financial aid, outreach efforts and attrition. Interpret & present these statistics, on a regular basis to the management.

  • Driving continuing flow of quality applicants to the university by analyzing trends in enrolment and admissions-related communication activities and presenting new strategies for the university’s admissions and outreach.

     

  • Enhances admissions functions and university reputation by accepting ownership for accomplishing new and different requests.

     

  • Interpret the University and its offerings to prospective students and their families, primarily through one-on-one discussions while having a thorough understanding of admission policies, university policies, regulations, and degree requirements.

Manager, Admissions and Outreach

Designation: Manager, Admissions and Outreach

Reporting to: Director, Admissions and Outreach, Sai University

Role Summary:

The role holder in collaboration with the Director, plan, manage and execute processing of the applications for all the programmes across the University, implement admissions operations policies with the highest degree of integrity, while delivering an empathetic, responsive student experience. The position offers the opportunity to work with a highly collaborative team with a wide array of responsibilities in a busy, academic environment.

Responsibilities: 

  • Manage a merit-based evaluation process with absolute integrity and rigour to recruit students for all Programmes across the board in line with the objectives of the University, and act as a link between students, admissions operations, and key academic offices
  • Manage the review of applications, including evaluation of components such as academic grades, Statement of Purpose, Personal Interactions and other components of the admissions as defined from time to time
  • Efficiently process applicant data and applications in line with admissions policy in a time-bound manner in line with operating procedures
  • Ensure data integrity of application data and streamline and upgrade the processing software 
  • Define and implement service standards for admissions and application processing
  • Oversee response to student/ parent queries and inquiries, coordinating with members of the outreach team to act as a bridge between students and the admissions team
  • Liaise with faculty, team members and telecallers’ to conduct and coordinate all stages of the application review in a smooth manner
  • Interact with students to facilitate smooth operational processes
  • Manage Admissions communications, including the release and distribution of admission content and messages
  • Facilitate the recruitment of a diverse student population that is representative of socio-economic and other diversity criteria, in order to build a diverse campus.
  • Conduct briefings for the admissions team, faculty and for evaluators, including TAs and Student Ambassadors to ensure consistency by those undertaking the review of applications
  • Coordinate with Office of Student Housing and residential life to facilitate outstation students
  • Coordinate with the Programme Offices, Office of Dean of Students and the Office of the Registrar to ensure a seamless transition into the University for incoming students 
  • Monitor and report on achievement of service objectives and adherence to service standards.
  • Collect and maintain data on student scholarships, scholarship requests and allocation, and other additional supporting data. 

Key Skills:

  • Experience in admissions at a college or university is required
  • Requires strong interpersonal, motivation and influencing skills.
  • Ability and willingness to work in a high-pressure environment interacting with students, public, university faculty/administration. 
  • Experience using a Customer Relationship Management (CRM) solution or Admission tools like NoPaperForms is preferred. 
  • Self-motivated and able to work independently and as a team member, fostering teamwork.

Qualification: 

  • Post Graduate with focus on service operations/customer service management
  • At least 8-10 years of relevant experience

Regional Manager, Admissions and Outreach

Designation: Regional Manager, Admissions and Outreach

Reporting to: Director, Admissions and Outreach, Sai University

Positions: 2  (One each for North and West (based in their respective regions)

Role Summary:

The role holder will plan, manage and execute all aspects of conducting a highly professional Outreach Program for their respective regions in collaboration with the Director Admissions of the University building and leveraging the network. He/she should develop strong relationships with select high schools, engage with students, school counsellors, parents, make them aware of the University’s offerings and encourage them to take admissions.

Responsibilities: 

Strategy:

  • Formulating an outreach plan and strategy for your defined region with a list of activities, engagements, budgets, targets, hiring plan etc.
  • Implementation of outreach strategies to maximize visibility and reach to target audience for UG/PG programs
  • Help translate the interest of students into application and admission.

     

Relationship Management/Business Development:

  • Generating new leads and nurturing them towards submission of applications 
  • Nurturing and managing existing and prospective relationships with school administrators and counsellors to set up interactions with students and parents of target groups 
  • Managing partnerships with private counselling organizations to represent SaiU at higher education forums, conferences, and events
  • Building new relationships with schools, increasing market reach and penetration in assigned region
  • Guiding the calling team towards lead nurturing efforts and calling highly qualified leads for conversion towards application submissions
  • Working towards assigned regional targets for UG/PG programs in assigned region
  • Reach out to students and build future prospects and applicant pools by visiting high schools; attending college fair; visiting community schools and colleges and institutions by giving presentations, speaking with students individually.

People

  • Working in close coordination with other Regional managers to work towards overall branding, positioning, and visibility of the university
  • Working with the communications and calling team to work on lead nurturing and conversion to application submissions
  • Working with the admissions team to organize retention activities for students offered admissions

     

Operations

  • Efficient implementation of outreach initiatives like delivering presentations and interactive sessions at schools, participation in career fairs etc. 
  • Managing events such as principals’ meets, open houses, online webinars on various aspects of the university such as academic programs, scholarships, student life, career pathways etc.
  • Coordinating with faculty and organizing faculty-led webinars and academic workshops

Qualification: 

  • Masters or Bachelors degree in Computing and Data Science or relevant field
  • Professional experience in higher education or an equivalent position in the private sector
  • Broad understanding of subdisciplines and topics in Computing and Data Science including programming languages (e.g. Python), artificial intelligence, machine learning, data science (e.g., R), blockchain, search engine algorithms, etc.

Teaching Assistant/Teaching Fellow, School of Computing and Data Science (Robotics and embedded systems)

Designation: Teaching Assistant/Teaching Fellow-Robotics and embedded systems

School: School of Computing and Data Science, Sai University

Reporting to: Faculty Incharge

Location: Chennai

Role Summary: 

The Teaching Assistant (TA) or Teaching Fellow (TF) will assist the Faculty in the School of Computing and Data Science with the instruction and administration of courses in the core curriculum for the BTech course specific to robotics and embedded systems course. The TA/TF will also be involved in managing the robotics lab.

Responsibilities:

Primary responsibilities may include but not limited to:

  • Setting up and maintaining the Robotics lab including inventory management, liaising with vendors, and projecting requirements for student projects.
  • Setting up software environments and actively initiating use of new software tools and training in such tools.
  • Be a resource person for courses in Embedded systems and Robotics assisting students with their projects, supporting and guiding in the project implementations.

  • B.E/B.Tech/M.E/M.Tech (Computer Science/IT/Electrical/Mechanical) with exposure to Embedded Systems and Robotics. Programming skills in C/C++/Python/Lua are mandatory. 
  • Experience with Robotic platforms and design tools Coreldraw/CAD/Blender is preferred.
  • Familiarity with robotics simulation platforms coppeliaSIM/ ROS-gazebo and exposure to Image processing, Machine learning would be added advantages.
